Finding the perfect venue for your event can feel like looking for a needle in a haystack. With so many variables, how do you make sure the space you choose matches the spirit of your event and impresses your guests? We sat down with our resident venue expert, Joe, to get the inside scoop on hiring the ideal setting for your next event.
Why is choosing the right venue important?
Joe explains, "the venue sets the tone for your entire event. Whether it's a big corporate summer party or a small intimate wedding, the venue you choose is more than just a location. It impacts your guest’s experience, logistics, and the overall atmosphere of the day."
What are the top factors to consider when hiring a venue?
"There are three key factors to keep in mind," says Joe. "First, capacity—make sure the space can comfortably accommodate your guest list. Make sure you think about if they will be seated or standing and how it will work with the general flow of the day. Second, location—it should be accessible and align with the theme of your event. Third, facilities—from AV equipment to parking spaces, ensure the venue meets all your logistical needs."
Where should someone start?
Joe advises, "Starting your venue hire search can seem overwhelming, but it doesn't have to be. A great first step is to use a platform like Togather, where you can fill out a short form about your event and we’ll match you with venues that fit your required location, capacity, and more. You’ll receive personalised quotes from relevant venues in one place to compare, you can chat to any before booking and our team of experts are on hand to ensure you get the best venue for your event."
What to do when you’ve got a shortlist?
"Once you've narrowed down your options, it’s time to get strategic," Joe explains. "Ask any you’re interested in to provisionally hold a date for you. This gives you a safety net while you make your final decision. Be sure to gather quotes from each venue to compare costs effectively and book a site visit to experience it first hand. This ensures you’re fully informed before making your final decision."
Any tips on visiting potential venues?
"I’d always recommend asking for a site visit, and go along with a checklist in mind," advises Joe. "Assess the space's natural flow, lighting, and how well it can be customized to suit your needs. Imagine your event in the space and walk through the entire guest experience. Don't forget to ask about restrictions like noise, serving food and drinks, or decor limitations."
Any final thoughts?
"Choosing the right venue can be daunting, but you're not alone," Joe assures. "At Togather, we’re here to explore, advise, and support you every step of the way. Your event deserves a perfect backdrop and we’re here to make sure you find it."
